FOL Executive Board Meeting for July 16, 2022

At 1:00 pm, President Sarah Reed called the meeting to order. Those in attendance were Susan Stanton, Gerry Slaughter, Bill Guion, Dianna Gunter, Judi Smith, Angela Cortellino, Tom Hill, Laurie Darrow, and Joan Hill.

Approval of Minutes
Secretary Joan Hill asked that the minutes from the April 23, 2022, meeting be approved. The minutes were approved.

Treasurer’s Report
Tom Hill gave the Treasurer’s report:
  • FOL account balance: $10,541.18
  • Branch accounts: A request for a $3,000 disbursement was approved.
  • Deposits total: $15,647.86
  • Operating within the 10% limit.
  • Branch deposits were given. Some money remains in the FOL account for the Square Reader and the cash box for the Hickory Flat bookstore.

Executive Director’s Update (Angela Cortellino)
  • HFL Update: Only one construction bid was received, and it was not workable. The board will need to determine the next steps, which will result in a delay.
  • WPL LSTA Grant: The Woodstock Public Library received a $275 LSTA Grant toward a Butterfly Garden as part of the Rosalynn Carter Butterfly Trail Partnership Program. The garden is now featured on the website as a public garden and will be included in the next book.
  • Summer Kickoff Success: Approximately 985 patrons attended the seven kickoff events last week. Mayor Grant joined the RTJ kickoff.
  • Circulation Milestone: In FY22, the Sequoyah Regional Library System circulated 1,020,144 items—the highest circulation year since FY12 (June 2011 - July 2012).
  • Pickens County Library Renovation: Substantial completion is set for early August, with the reentry process beginning at that time. It will take a little over 30 days to fully move in. The projected public opening is in early fall.

Membership Report (Bill Guion)
In April, there were 155 members. The current membership is 154. Bill recently sent out 33 renewal notices and has received eight responses so far.

Grant Report (Dianna Gunter)
  • Recent Funding: $900 received from Cobb EMC.
  • Pending Grants: Applications have been submitted for the Dollar General Grant (expecting a response in September). An application to Amicalola EMC will be submitted at the end of August.

Woodstock Bookstore Report (Tom Hill)
  • The weekly income chart has been shared with the board.
  • Year-to-date bookstore income: $7,033.47.
  • RTJ Book Sale revenue: $3,821.96.
  • Total sales thus far: $10,855.43. A strong year so far.
  • Tom met with Pickens FOL members at the WPL bookstore to answer questions.
  • Questions were raised about Square usage and associated fees. Further research is needed.

New Business
  • Liaisons: Should pick up bookmarks and membership forms for their branches.
  • Annual Meeting Postcards: The by-laws require this method for meeting announcements. Suggestions for inclusion:
    • Annual meeting date and speaker
    • Location
    • Quarterly board meeting dates and locations
    • Bookstore information
    • Donation days and locations
    • Website details
  • Coupons/Vouchers: Further discussion is needed with Joey Dye to confirm the design and WPL’s plans for usage.
  • Big Branch Book Sales:
    • Ball Ground (BG): No sale due to low profit relative to effort.
    • RTJ: Possible sale in March. Joan will check with Lisa for available dates.
    • Rose Creek (RC): No sale planned.
    • Hickory Flat (HF): Closed for renovations but planning a sale in July 2022.
  • New Checkout Slip: Susan Stanton requested a new quarter-sheet checkout slip for large book sales. The design was approved.
  • Web Master Position: Savannah Parham has resigned as Web Master. Bill Guion will search membership records for individuals who have expressed interest in this area.
